MENTORSHIP COORDINATOR

We are looking for 2 mentorship coordinators to assist in our annual mentorship program. Mentorship coordinators will be working closely with our Mentorship Head to ensure successful outreach and promotion of the program, smooth admission process with fair pairing of mentors and mentees, and commendable delivery of quality curriculum. You are a great candidate for this role if you are intrinsically driven to help Indonesian students improve their chances of being accepted in schools abroad and can set aside sufficient time amidst your busy schedule to work in a team environment to deliver this program.

Nature of the position

This is an unpaid part-time position for the period of Jan-Dec 2017. The mentorship coordinator is expected to commit on average three hours per week. The number of hours will typically ramp up a few weeks prior to the official start of the program up until its conclusion. As the work is done remotely, mentorship coordinator can be based anywhere.

Roles and responsibilities

Indonesia Mengglobal Mentorship is a three-month program that goes from July to September and can be broken into four main aspects: promotion, admission, curriculum, and external partnership. Mentorship coordinators are involved in all four aspects but can choose to focus on a particular aspect during off-peak periods:

1. Promotion

The objective of the promotion phase is to reach out to as many prospective mentors and mentees as possible and get the words out about the benefits of the mentorship program. Tasks during the promotion phase include:

  • Gathering testimonials from past mentees as promotional resources
  • Working with the communication team to create posters to promote the program and to spread the words about the program through our social media channels
  • Coordinating with the content team to create post articles for mentorship announcements

2. Admission

Our mentorship program pairs each mentee with a matching mentor and attempts to provide opportunities to as many mentees as there are qualified mentors (In 2016, we accept >100 mentor-mentee pairs). The pairing takes into account the preferences of both mentors and mentees to ensure a fair process and a sustainable mentor-mentee relationship. This is done by requesting mentors/mentees to pick and rank their top mentees/mentors and honoring these rankings during pairing. The mentorship application opens for both mentors and mentees simultaneously for a period of one month. Tasks during the admission phase include:

  • Preparing applications forms for mentors and mentees
  • Responding to questions raised by prospective mentors and mentees during the application period
  • Screening mentee applicants (typically no more than 20) for mentors who have been popularly picked to avoid overwhelming these mentors. Note that this will be the most time-consuming task for the admission phase.

3. Curriculum

Our mentorship program consists of 5 main legs: (1) resume, (2) school choice, standardized tests, and funding plan, (3) essays, (4) letter of recommendation, and (5) conclusion. An assignment is distributed at the beginning of each leg and must be submitted before the start of the next leg. Tasks for our mentorship curriculum include:

  • Updating assignments from what are already available from previous years
  • Organizing seminars/workshops to allow learning from successful experiences of mentors and past-mentees, and to discuss each application component in details
  • Coming up with new initiatives to further improve the quality of the mentorship
  • Tracking assignment submission

4. External Partnership

Our program currently collaborates with EducationUSA to provide US-mentees with reimbursements for their school or standardized test fees. We are looking to continue this partnership in 2017 and explore partnership with other organizations to support our non-US-mentees.

Why become a mentorship coordinator?

  • Contribute concretely to the mentees’ success in their applications to schools overseas
  • Develop leadership and outreach skills, solid résumé builders.
  • Get to know and build relationship with Indonesian students and alumni from universities abroad.
  • Contribute towards shaping Indonesia Mengglobal’s strategies going forward
  • Have direct access to Indonesia Mengglobal’s network of staff, students and alumni. If you are planning to further your study abroad, we are committed to assist you by connecting to the right resources from our network.

Who are we looking for?

A mentorship coordinator must:

  • Have strong intrinsic motivation to help Indonesian students improve their chances of being accepted in schools abroad
  • Be able to set aside sufficient time to work in a team environment to deliver the program
  • Be a student or alumni of higher education institution overseas with an Indonesian background.
  • Communicative and responsive to the intense online communication between team members. Punctual and committed to work deadlines.
